Account & Billing
Overview
Your Account page is your personal control center. Open it from More → Account. A left-hand menu opens one pane per task. Everything here is about you — your profile, your purchases, your wallet, your support tickets — except for two fields (timezone and message footer) that apply to the workspace you are currently in.
The menu is split into two groups:
- Account — Profile, Order history, Wallet, Affiliate, Support history, and Branding.
- Security — Change password and Delete account.
Where plans live: Choosing or upgrading a subscription plan happens on a separate page — see Plans & Trial. The Account page is where you see the result of a purchase — your order history and downloadable invoices.
Profile & Photo
The Profile pane (the default view) is where you keep your identity up to date.
Editing your details
- Open Account → Profile.
- Edit any field (see the table below).
- Click Save changes. A "Profile updated" confirmation also appears in your notifications.

Profile photo
- Click the small pencil button on your avatar.
- Pick an image — accepted formats are JPG, JPEG, PNG, WEBP, GIF, up to 2 MB.
- The preview updates instantly, without a page reload. Your previous photo is removed automatically so it does not waste storage.
To remove a photo entirely, use the remove action — the photo is deleted and your avatar falls back to your initials.
Note: Profile photos are stored on your own server. On a standard install everything is set up for you, so you do not need to do anything.
Order History & Invoices
The Order history pane lists every purchase you have made — both plan subscriptions and credit top-ups (your most recent 100 orders). Each row shows the order number, the plan name, the date, the amount (with any discount or tax broken out), and a status badge.

The header shows your lifetime spend. Because orders can span multiple currencies (for example you paid in USD early on, then switched your workspace currency to INR), the lifetime total sums only paid orders and converts each row into your current workspace currency, so the headline number stays meaningful.
Downloading an invoice
- Click Download invoice on any row to open a printable invoice.
- It carries the company and billing details the platform owner set up — company name, address, tax ID, registration number, email, phone, and tax label.
- Use your browser's Print → Save as PDF to keep a copy.
Note: You can only open invoices for your own orders. Platform admins access all orders separately from the admin panel.
Checkout, Coupons & Tax
When you pick a plan or a credit bundle, you land on the checkout screen. It is driven by the platform owner's settings, so what you see adapts to how the deployment is configured.
How checkout works
- The plan price is converted from the plan's own currency into your workspace currency.
- You choose from the active payment gateways that accept that currency (WaDesk supports 30+ gateways; any that do not support your currency are hidden).
- You fill in your billing details — name, email, company, address, city, postal code, country, and tax ID — which are saved on the order for the invoice.
- On success the order is marked paid, your plan is applied to the workspace, and any free-trial window ends immediately (see Plans & Trial for what happens next).
Coupons
If you have a coupon code, type it in and click Apply for an instant preview of the discount. Coupons come in two types: percent (e.g. 20% off) and fixed (a flat amount off). The preview is only a guide — the code is checked again at the moment of payment, where these rules apply:
- The coupon must be active and within its start and expiry dates.
- It must not have reached its maximum uses limit.
- Your order must meet the coupon's minimum order amount.
- The coupon must apply to the plan you are buying.
Tax
If the platform owner has enabled tax, a tax line at the set rate and label (for example "GST 18%") is added on top of the discounted subtotal. The amount you are charged is: subtotal − discount, plus tax. WaDesk saves the full breakdown (discount, tax rate, tax amount) on the order so your receipt shows exactly how the total was reached.
Tip: If a gateway is greyed out or missing at checkout, it usually means that gateway does not accept your workspace currency, or the platform owner has not enabled it. Try a different gateway or contact your administrator.
Wallet & Credits
The Wallet pane tracks your message credits. Three cards at the top summarize your balance:
- Available credits — your current balance, plus an estimate of how many messages that buys (the platform owner sets how many credits one message costs).
- Spent (30d) — credits used in the last 30 days.
- Earned via affiliate (30d) — credits earned from referrals and refunds in the last 30 days.
Below the cards, the Wallet activity list shows every credit transaction — earned, spent, topped up, and refunded — with a running balance after each, 10 per page. You can grow your balance two ways:
- Top up credits — buy an admin-curated credit bundle (pay once, no expiry).
- Earn via affiliate — share your referral link and collect credits per sign-up.
Affiliate & Referrals
The Affiliate pane gives you a unique referral code and a shareable sign-up link. Every new sign-up through your link adds a fixed number of message credits straight into your wallet (the reward amount is set by the platform owner, and is 100 credits by default).
You get three at-a-glance stats — sign-ups in the last 30 days, lifetime sign-ups, and total credits earned — plus a Recent referrals table showing who joined, which code they used, when, and how many credits you earned from each.
Note: Use the Copy link button to grab your full referral URL. Anyone who registers with that link is automatically attributed to you.
Branding & Message Footer
The Branding pane controls the message footer — the small line appended to the bottom of every plain-text message and interactive bubble (buttons, lists, CTAs) your workspace sends from flows, scheduled sends, and team-inbox replies. Approved WhatsApp templates skip this footer because they carry their own.
What you can do depends on your plan, because changing the footer requires the "remove branding" plan feature:
- On a plan that includes the feature: you get a 60-character text box to set a custom footer. Leaving it blank means no footer at all — messages go out with nothing added. A live preview shows exactly how it looks.
- On a plan without the feature: you see the platform's default footer (read-only) and an upgrade prompt. You cannot change the footer until you upgrade.
How saving works
When you save, the footer takes effect on your very next message across all your connected numbers.
Caution: The custom footer is workspace-wide. It affects everyone sending from this workspace, not just you. The 60-character cap keeps messages clean and avoids bloating every outbound bubble.
Support History
The Support history pane shows every support ticket you have ever opened, filtered by Open, Resolved, or All (each with a live count). Each card shows the ticket number, subject, reason, and a status pill (open, awaiting reply, your turn, or resolved).
To open a new ticket, click New ticket, which takes you to the Support page. Tickets you create there appear here automatically, with no limit, so you can browse your full history.
Change Password
Under the Security group, the Change password pane updates your login password.
- Enter your current password (verified server-side).
- Enter a new password of at least 8 characters, then confirm it.
- Save. On success you get a confirmation notification flagged as an urgent security event — "If this wasn't you, reset immediately."
Tip: The page recommends a strong, unique password and a password manager. For full account hardening — including two-factor authentication and active session management — see the Settings page and the Authentication & Security section.
Delete Account
The Delete account pane permanently removes your account. There are deliberate safety rails:
- You must type the confirmation phrase DELETE my account exactly (case-sensitive) to proceed — otherwise the request is rejected.
- You cannot delete while you own a workspace that has more than one member — you must transfer ownership or remove the other members first. The error names the blocking workspaces.
On deletion, your personal data is scrubbed: your name becomes "Deleted user", your email is replaced with an anonymous placeholder, your phone and country are cleared, and your photo is removed. You are immediately logged out.
This cannot be undone. Before deleting, consider spending remaining credits, downgrading to a free plan instead, or contacting support — the page links to all three. Any unused wallet credits are lost on deletion.
Troubleshooting

| Uploaded photo shows a broken image | This is a server setup issue with photo storage — normally handled by the installer. Ask your administrator. |
| Lifetime spend looks off | It adds up only paid orders, each converted into your current workspace currency. Changing your workspace currency re-bases the headline figure. |
| Cannot edit the message footer | Your plan does not include the "remove branding" feature. The default footer is read-only until you upgrade. |
| Account deletion blocked | You own a workspace with other members. Transfer ownership or remove members first; the error lists which workspaces. |
| Coupon rejected at payment though the preview accepted it | The preview is only a guide; the final check at payment enforces the active dates, maximum uses, minimum order, and which plans the coupon applies to. |
